KMEA Web-Based Membership Directory Tutorial



To assist our members with navigating and properly operating our Membership Directory we have complied this short and simple tutorial to guide you through the KMEA Membership Directory.

Many members vary in computer skills, thus we have compiled this tutorial into  different sections. This will allow you to troubleshoot your specific technical difficulty. Please choose from the sections listed below:

Logging Into KMEA  Directory For The First Time Since February 15, 2005

1]You will be asked to place your MENC ID# in the first blank of the login screen. You use ONLY the number that appear AFTER the zeros included in your MENC ID. Example: 0006754 is the number on your MENC card. For login purposes, you would ONLY 6754. In that same screen you will be asked to enter your MENC ID# again. The second entry of the MENC ID# will serve as a TEMPORARY password.

2] You will then be asked to submit a PASSWORD known only to you and then to verify that PASSWORD. By completing that operation, you will establish your login identity to access the web directory in future logins. Remember that you must type the password in future logins EXACTLY as you initially entered and verified the password. The password is CASE SENSITIVE so if your initial entry of the password was in upper case, it must be done that way then next time you access the directory and vice versa.

 

3] A third screen will come up confirming your new password (see below). When the screen below appears, you need only click on the link CLICK HERE to CONTINUE to SITE. The next time you login, you will use the new password you have chosen. Write down your new password and place it in a safe location unknown to others.

 

4] After you have completed the initial steps above (1 -3), future logins will require you to place your MENC ID# in the first blank or the USER NAME area and the NEW password you have chosen into the second blank of the login screen or the PASSWORD area. Remember that you must type the password in future logins EXACTLY as you initially entered and verified the password. If you have problems in future logins, be sure that you don't have your CAPS LOCK on when you have NO uppercase letters in your password.

5] Should you, for some reason FORGET your PASSWORD,there will be a provision for the PASSWORD to be emailed to you at the email of record in the web directory. It is suggested that you write down the new PASSWORD so as to have it readily available for login and place same in a secure location known only to you.

Logging Into KMEA  Directory After Having Setup Your Password:

  1. Go to http://www.kmea.org
  2. Scroll down until you see Web-Based Member Directory on the left hand side.
  3. Click the Web-Based Member Directory Icon
  4. At the login screen you will see a place for Member ID and Password.
    a. Type your member ID # in the space provided leaving off any zero’s that precede your number.Example: If KMEA member John Doe with an ID # of 00345 were to login he would type: “DOE” in the last name box and “345” in the member ID # box.
    b. Type your Password in the space provided. The password is CASE SENSITIVE so if your initial entry of the password was in upper case, it must be done that way then next time you access the directory and vice versa. Note: If you are having trouble logging in check and make sure your CAPS LOCK is turned off.

 


Member Search(after you have logged on):

We have several different methods of searching for KMEA members. You can choose any solo or combination of the following search options: 

First Name, Last Name, District Number, School, City, Zip Code, Festival District, Organizations, Level, and Board Members/Committees.

 

As you can see we have many options to help narrow your search results.

These options are located in pull down menus and selection boxes.(see picture below). To select the options in the pull down menus simply click(and hold) the pull down menu releasing your mouse over your desired choice.For choosing options with the selection boxes(i.e. under organizations and level) simply click the clear box to the right of each title. This will place a check mark in the deisred box(es). You may only select one choice for each pull down menu, however, you may select multiple selection boxes(i.e. you could select to search for those who teaches both orchestra and band by selecting both of them).

 

Please note: When you select more than one option in the selection boxes( under ogranization and/or level)you are adding those requiments to your criteria. Thus, if you checked Band and Chorus under organizations then your results would ONLY have those who teach BOTH Band and Chorus. Your results would NOT contain all of the band teachers and also all of the choral teachers... but would ONLY include those who have been listed as teaching both Band and Chorus.

 

After you have picked your combination then click the “Search” button. The more criteria you can select before searching, the more accurate your search results will be.

 

 

For example, lets say you wanted to search for all the KMEA Orchestra directors. Simply click under Organizations and choose Orchestra. Hit “Search” and your results will appear.

You could even narrow it down to high school orchestra teachers by selecting Orchestra under Organizations and high school under level, then hit the “Search” button. You could even be more ambitious and narrow it down to High School Orchestra Directors in District 8, by also choosing “8” under districts. As you add more criteria please remember that the search results will only show those members who meet ALL of the criteria you selected.

 

I think you get the idea.

And also in the blue colored area next to the “Search” button you can choose to search by First Name, Last Name, District #, Zip Code, School, City, or Festival District.

 

These options are designed to provide you with accurate search results and to prevent unnecessary contact with other parties not affiliated with your particular concern.

Sending Email to Your Search Results
Please Note this is the only method of sending e-mail through the KMEA Database. Categorized Group E-Mail List Are No Lonerger Availble. This is to help eliminate excessive e-mails reaching incorrect members.

After narrowing your search to the KMEA members you wish to contact via email follow these steps:

1.After hitting “Search” a list will appear. At the top of the list on the right hand corner will be a link that says, “Send an email to all members below”
2. Click that link.

3.Now you will be taken to our email center. It will say Print Mailing Labels at top; scroll down until you see the open boxes that await your email.

4. Under “Send To” be sure that you select “Search Results”, it should already be there but it never hurts to double check.
5.In the “From Address” box place your email, i.e. myemail@jefferson.k12.ky.us NOTE:  This form is for use by KMEA members only.  You must enter a valid return e-mail address or your message will not be sent. 
6. Place your name in the Senders Name.

7. Place the title of your subject in the “Subject” box. (Note: Due to the amount of virus activity across the globe, it is a good idea to be sure your subject is something that ALL of your senders will understand and know that it is safe to open)

8. Under “Content” type your email.
9. You may also wish to send an attachment. For example, if you have created a form or word document in Microsoft Word, you can simply click “Browse” then find your file and attach it to your document. This will send that file to all your searched results.

10. Once you have completed these steps click “Send” Be sure to only click send ONCE. Do not be impatient, clicking the send button more than once will send your email more than once. The larger the group you send it too, the longer it will take to send.

 


KMEA Information Center

Also included after logging into our Web-Based Membership Directory is the KMEA Information Center. On this page members of the Kentucky Music Educators Association can secure documents and information pertinent to the operation of the organization. Many of the files are in Adobe PDF format requiring the use of the Adobe PDF Reader  version 5.0 to access the information. The format of this information is accessible in either the Windows or Macintosh platforms. The Adobe PDF reader may be obtained or updated FREE at
